Administrator, Secondary Education Unit and Professional Education Programmes

Aga Khan University Institute for the Study of Muslim Civilisations (AKU-ISMC) in London invites applications for the position of Administrator, Secondary Education Unit
and Professional Education Programmes.

Responsibilities
The position holder will report to the Lead Faculty for Secondary Education Unit and Lead Faculty for Professional Education Programmes. S/he will initially be involved in the administrative work for two different units of the Institute (as above). It is anticipated that the incumbent may be transferred to the administration of either of the above functions or another academic unit of the Institute in the future.

The following responsibilities reflect the present requirements of the position. As duties and responsibilities change and develop the job description will be reviewed and is therefore subject to amendment.

  • Responsible for the smooth and efficient administration of the Secondary Education Unit and Professional Education Programmes;
  • Support faculty members (engaged in Secondary Education Unit and Professional Education Programmes) in a range of administrative duties;
  • Communicate effectively with a range of people, both within and outside the Institute, engaged in any stage of the above programmes;
  • Coordinate logistics for execution of programmes, courses, conferences and/or events for the departments;
  • Deal with enquiries regarding Secondary Education Unit and Professional Education Programmes;
  • Provide secretarial support, including photocopying, drafting correspondence, typing, producing reports and papers, scheduling and arranging meetings and taking minutes of the meetings;
  • Maintain an appropriate, up-to-date and well-organised system of records;
  • Assist as requested in programme marketing and registration related work;
  • Maintain a list and facilitate on-going communication with Professional Education Programmes ‘alumni’ (including possibly on-line alumni pages);
  • Participate in marketing of Professional Education Programmes through a variety of media;
  • Liaise and co-ordinate with the Institute’s Resource Development Officer and personnel;

Requirements

  • Experience in secretarial or administrative work, in an academic institution, ideally with some background in continuing/professional education or curriculum design or alumni relations;
  • Excellent proficiency in the English language and good oral and writing skills are a prerequisite (knowledge of an additional language, particularly those spoken in Muslim societies, will be an asset);
  • Strong computer skills and a thorough working knowledge of Microsoft Office applications is required (experience working with databases is desirable);
  • Strong communication and interpersonal skills and enjoy working with people;
  • Ability to use initiative and organise workload by focusing on best practices in all aspects of this role;
  • UK/EU citizen or appropriate permission to work in the UK.
